*Exhibitors expressly agree not to begin packing or dismantling their exhibits until after 7:30 p.m. on Saturday night.

REFRESHMENTS: Each exhibitor may participate in the continental breaks set up in the pre-function area for registered seminar attendees. A Badge is required to participate in these refreshments.

 

 

TERMS AND CONDITIONS OF EXHIBIT SPACE CONTRACT

MANAGEMENT: The Exhibit and Convention will be conducted under the direction of the Medical/Dental/Health Professionals Department of the Southern Union, which will be designated as MDHPD in this contract.

APPLICATION FOR AND ASSIGNMENT OF SPACE: The MDHPD must approve all exhibitors. Space is assigned based on: 1) attendance at previous conventions, 2) when your application with payment is received, and 3) when you actually arrive at the convention. The MDHPD reserves the right to approve or reject any registration contract.

PAYMENTS: Full payment with completed registration is required to reserve a space.

CANCELLATIONS: Any cancellation must be requested in writing to Southern Union Medical/Dental Department, PO Box 923868, Norcross, GA 30010. Cancellations received 45 days prior to opening will result in full refund minus $25 processing charge. Refunds for cancellations received after the 45 days prior to opening will be made only if the space is resold. If resold, a $60 processing charge will apply.

EXHIBITOR’S OFFICIAL REPRESENTATIVES: Each exhibitor should submit the name of their official representatives to the exhibits at least 30 days prior to opening the exhibit. Proper credentials will be issued by the MDHPD to these official representatives. There is a park entrance fee that will be waved as you go in and out of the park. Just let them know you are with the SU convention when you first arrive, then pick up your park pass at the front desk of the hotel.

ARRANGEMENT OF EXHIBITS: Exhibits shall be so arranged as not to obstruct the general view nor hide other exhibits.

SHIPPING: If you wish to ship materials directly to the hotel see the hotel shipping information.

BOOTH SPACE: Refer to the links below. Your booth space includes a six foot table, clothed and skirted, two chairs and one electrical outlet. Each additional outlet is an additional charge. To avoid additional charges please bring your own extension cord, power strip and duct tape. All electrical cords must be secured for safety reasons.

FIRE, HEALTH AND SAFETY REGULATIONS: The exhibitor agrees to comply with local city and state laws, ordinances and regulations covering fire, health, safety, and other matters. All exhibit equipment and materials will be reasonably located with the booth and protected by safety guards and devices when necessary.

SECURITY: Reasonable precautions to safeguard exhibitor’s property should be taken. Do not leave valuable materials unattended. You are responsible for safeguarding your property. Even though registered guests are attending, you are in a public hotel.
